Custom CRM Development: When to Build Your Own, and When HubSpot or Zoho Is the Better Choice

Custom CRM development for sales teams that outgrew spreadsheets: when a ready-made CRM is enough, when custom pays off, and prices from $1,500.

Updated: 7 min readBy the Q Studio team

The short answer

Most small sales teams should start with a ready-made CRM such as HubSpot or Zoho, which are quick to set up and have free or low-cost entry plans. A custom CRM pays off when your sales process is tied to your operations, runs mainly through WhatsApp, needs proper Arabic, or when per-user fees grow larger than the cost of owning the system. Q Studio builds custom CRMs with roles, pipelines, reminders and reports from $1,500, and larger systems from $3,000.

A CRM (customer relationship management system) answers simple questions that become hard as a business grows: who are our leads, who's following up with each one, what did we promise them, and how many deals will close this month? For many companies, those answers are currently spread across a spreadsheet, a few phones full of WhatsApp chats and a sales manager's memory.

We build custom CRMs, but we'll tell you plainly: most teams should try a ready-made one first. This page explains how to decide, what a custom CRM from us includes, and what it costs.

Start here: is a ready-made CRM enough?

HubSpot, Zoho and similar CRMs are mature products, quick to set up, with free or low-cost entry plans and plenty of integrations. A ready-made CRM is probably the right choice if:

  • Your sales process is standard: lead, contact, meeting, proposal, won or lost.
  • You have a small team and want to start this week.
  • Your team works mostly by email and phone, in English.
  • You don't need the CRM to run anything after the sale (orders, jobs, deliveries).
  • You're happy to adjust your process to the tool.

If that's you, set one up, use it for a few months, and note where it gets in the way. That list becomes an excellent brief if you ever do need a custom system.

When a custom CRM pays off

Sales and operations are one process

For many businesses, the sale is just the start. A maintenance company's lead becomes a site visit, then a quote, then a job with a technician, then an invoice. A training center's lead becomes an enrolment, a class and a certificate. Ready-made CRMs handle the first part well, and then you're copying data into another system. A custom system can carry the customer from first enquiry to delivered job in one place.

Your sales happen on WhatsApp

Across the Gulf and Egypt, many customers would rather message than email or take a call. A custom CRM can be built around that: leads created from incoming WhatsApp messages, conversations linked to the customer record, and reminders and confirmations sent through the official WhatsApp Business Platform. One rule to know: outside a 24-hour window after the customer's last message, businesses can only start conversations with pre-approved message templates, so we design follow-ups around that.

Arabic matters

If your team and customers work in Arabic, you need right-to-left screens, Arabic search that handles different spellings of the same name, and reports your managers can read. We're native Arabic speakers and build bilingual systems from the start; our Arabic and RTL localization page explains what that involves.

Per-user fees outgrow the system

Ready-made CRMs usually charge per user per month, and advanced features sit on higher plans. With a large sales team, branch staff and managers who all need access, the yearly bill can exceed the cost of a system you own. Run the numbers for three years, including your growth, before deciding.

Data control

Some companies prefer to keep customer data in a database they own and control, in their own cloud account. A custom CRM gives you that by default.

The middle path: keep the CRM, build around it

Sometimes the best answer is neither extreme. You keep a ready-made CRM for the sales team and add:

  • a customer portal that reads from it,
  • an integration that pushes won deals into your operations or accounting system,
  • a dashboard that combines CRM data with payments and delivery data.

This is often cheaper than a full custom CRM, provided your CRM's plan includes the API access the integration needs. See custom web app development for portals and dashboards of this kind.

What a custom CRM from us includes

PartWhat it does
Contacts and companiesOne record per customer with history, notes, files and linked deals
PipelineYour stages, your fields, drag-and-drop or simple status changes
Tasks and remindersFollow-ups assigned to people, with due dates and notifications
Lead captureWebsite forms and other sources creating leads automatically, with duplicate checks
Roles and permissionsA sales rep sees their own leads; a branch manager sees their branch; the owner sees everything
QuotesQuotes generated from the customer record, in Arabic or English
ReportsPipeline value, conversion by source, activity by rep, exports to Excel
Data importYour current spreadsheets moved in and cleaned
Audit trailWho changed what, and when

We build it as a web app that works on laptops and phones, with Next.js, React and a PostgreSQL database (Supabase or similar; see Supabase development), hosted in your name. Permissions are enforced in the database, not only by hiding buttons.

How we approach a CRM build

  1. Map the real process. Before any screens, we write down how a lead moves today, including the messy parts, and agree what the first version covers. How to write app requirements shows how to prepare this yourself.
  2. Preview in 72 hours. You and one or two salespeople click through a working preview with real pipeline stages.
  3. Import a sample of your data early, so problems with duplicates or inconsistent fields show up in week one, not at launch.
  4. Launch to a few users first, then the whole team. Adoption matters more than features: a CRM nobody updates is worse than a spreadsheet.

Prices and timelines

Prices are in USD, with a written scope and fixed price before any payment, then a 30% down payment to start, with 40% and 30% paid at milestones after each stage works.

ScopeStarts atTypical time
Clickable prototype of your pipeline and main screens$500About 5 days
Focused CRM: contacts, pipeline, tasks, roles, reports, data import$1,500About 3 weeks
Larger system: CRM plus operations (jobs, quotes, invoices), integrations, more roles$3,000About 5–6 weeks
A new feature or fix on an existing system$40–$1801–3 days

Running costs are usually low: hosting and database for a sales team typically start at little or nothing and grow with usage, paid by you directly. WhatsApp Business Platform messages and any SMS are billed by their providers.

If you invoice from the CRM in Saudi Arabia, tax e-invoicing requirements apply to the invoicing part; we define them in the scope from the start rather than adding them later.

When we're the right fit, and when we're not

A good fit: sales-led businesses in the Gulf, Egypt and beyond whose process runs through WhatsApp, whose sale turns into operational work, or who need a properly bilingual system.

Not the right fit:

  • A ready-made CRM already does what you need. We'll tell you, and you'll save money.
  • You want a full ERP with accounting, payroll and manufacturing replaced in one big launch. We do build full ERPs, but in phases, one module at a time on a single database, so each part is proven before the next. See custom ERP development.
  • You need consultants on site to run workshops and train staff in person. We work remotely, with video calls and written guides.
  • The business involves gambling, crypto or forex trading, interest-based lending, alcohol, adult content or military use. We don't take these.

FAQ

Can you move our data from a spreadsheet or another CRM?

Yes. We export from your current tool, clean duplicates and inconsistent fields, and import into the new system. We test with a sample first, so you can check the result before the full move.

Does the custom CRM work on mobile?

Yes. It's a web app designed to work in a phone browser, so salespeople can update a deal right after a meeting. If your team needs offline access or push notifications, a mobile app can be added on the same backend later.

Can it send WhatsApp messages automatically?

Yes, through the official WhatsApp Business Platform, which requires a verified business account and approved templates for messages you start. Automated reminders and confirmations work well; mass unsolicited messaging doesn't, and it risks your number being restricted.

Who owns the system and the customer data?

You do. The code, database, hosting and domain are set up in your name from day one, with a clean handover of code, accounts and running notes.

What if we need something we didn't mention at the start?

New needs always appear once a team uses a system. Small changes within the agreed scope are covered by the included revisions; anything beyond it is quoted upfront before we build it, so there are no surprise bills.

How do I start?

Describe how a lead moves through your business today, how many people will use the system, and where the current setup breaks. Within 24 hours you'll get a written scope, timeline and fixed price, free and with no obligation. The project planner helps you put the brief together.
