How much does it cost to build a booking app? Appointment and reservation app prices in 2026

Booking app costs in 2026 for salons, clinics, classes and rentals: which rules raise the price, SaaS vs custom, and prices from $1,500 web or $2,000 mobile.

The short answer

A booking app's price is set by your booking rules, such as staff and branches, service lengths, deposits, cancellations and class capacity, more than by the number of screens. With Q Studio a web booking system with an admin dashboard starts from about $1,500, a mobile booking app from about $2,000, and a full launch with roles, notifications and store publishing from about $4,000. For simple needs, a ready-made booking subscription is often cheaper, and we say so.

Two booking apps can look identical from the outside: pick a service, a day and a time. One can still cost twice as much as the other. The difference is in the rules behind the screen. Is every appointment 30 minutes, or does it depend on the service? Does the customer pay a deposit? What happens if they cancel two hours before? Does the same doctor work in two branches?

This guide prices those rules one by one, compares ready-made booking software with a custom build fairly, and gives four example budgets for salons, clinics, classes and rentals.

The core every booking system needs

Every booking system, from a barber to a sports club, starts with the same core. This is what an MVP covers:

  • A list of services with their length and price.
  • Only free time slots shown, and no double bookings.
  • Booking with a name and phone number, and a confirmation.
  • A dashboard for staff or reception: today's schedule, manual bookings, cancellations and changes.
  • Working days, breaks and holidays.

Everything beyond that is an extra rule, and each one has a weight.

Rule by rule: what each adds to the price

RuleExampleExtra work
Fixed slot lengthEvery appointment is 30 minutesNone, this is the core
Length varies by serviceHaircut 30 minutes, colouring 2 hoursSmall to medium
Several staff with their own hoursFour doctors, each with a different scheduleMedium
Limited resources besides staffThree pitches, two treatment rooms, ten bikesMedium
Several branchesA trainer who works in two branches on different daysMedium to large
Group classes with capacityYoga class of 12; booking closes when fullMedium
Deposit or full online payment20% when bookingMedium, includes a payment gateway
Cancellation and refund policyFull refund only up to 24 hours beforeMedium, because it touches money
Waiting listNext person is notified when a slot opensMedium
Recurring bookingsWeekly physiotherapy for two monthsMedium
Packages and memberships10 sessions at a discount, used up automaticallyMedium to large

The pattern: anything that touches money (deposits, refunds, packages) or shared time (one person in two places, shared rooms, class capacity) adds more work than it seems, because the exceptions are many and each mistake costs you a customer or an argument.

Ready-made booking software or a custom app?

Booking software sold as a monthly subscription is good, and for many small businesses it's the right answer. It's ready today, it's maintained by someone else, and it usually includes reminders, online payments and a booking page. If your rules fit its settings, start there.

It stops fitting when:

  • Your rules don't map to its settings. Day and night slots for a chalet, arrival-order queues at a clinic, a court that can be booked as one full pitch or two halves.
  • The price grows with you. Per-staff, per-branch or per-message pricing can turn a small fee into a large one as you add people.
  • You want your own brand and app. Your name on the app store, your own customer list, your loyalty rules.
  • Booking is your product. If you're building a platform for many businesses, rather than taking bookings for one, you need to own it.

A simple way to decide:

  1. Write down the monthly cost of the subscription with all your staff, branches and messages included, not the entry plan.
  2. Multiply it by 24 months.
  3. Compare that with the cost of a system you own, plus its hosting and messages for the same period.

If the subscription is cheaper and covers your rules, choose it. Either way, make sure you can export your customer list and booking history.

What it costs

These are our real starting prices in USD, with rough local equivalents:

Web booking system (MVP)Booking page, live availability, confirmations, admin dashboardAbout $1,500About SAR 5,600 / AED 5,500 / EGP 75,000

Mobile booking app (MVP)iOS and Android customer app, backend and adminAbout $2,000About SAR 7,500 / AED 7,340 / EGP 100,000
Full launchRoles, push notifications, publishing on both storesAbout $4,000About SAR 15,000 / AED 14,680

A web booking system opens from a link on any phone, with no download, so it can sit in your Instagram bio or WhatsApp replies. That's why we often suggest starting with it and adding a mobile app once you have repeat customers who benefit from notifications. A web MVP takes about 3 weeks; a mobile MVP about 2–6 weeks.

Every project starts with a written scope and fixed price. Projects up to $500 are paid 50% to start and 50% on delivery; projects over $500 start with a 30% down payment, then 40% and 30% at milestones, each paid after you see that milestone working. The first working preview arrives within 72 hours of the down payment. For a quick estimate, try the app cost calculator.

Running costs: reminders are usually the biggest item

Reminders cut no-shows, and they are also the cost that repeats with every booking:

Reminder channelCostStrengthLimit
Push notificationUsually freeInstant, no per-message feeOnly for customers who installed the app and allowed notifications
EmailVery lowGood for confirmations and receiptsOften read too late
SMSPer message, varies by countryReaches every phoneAdds up with volume
WhatsApp (official API)Per message, set by Meta by message typeThe channel people in the Gulf and Egypt actually readNeeds a business account and approved templates

A quick sum: a clinic with 30 bookings a day that sends a confirmation and a reminder for each sends about 1,800 messages a month. Multiply by your provider's price per message to see that line alone. Hosting, payment fees (if you take deposits) and store accounts (Apple $99 a year, Google Play $25 once) are usually smaller, and all are paid directly in your name.

Some businesses want customers to book inside WhatsApp itself. That is an AI agent rather than an app; our WhatsApp AI agent page covers how the booking package works.

Four example budgets

A barbershop with three chairs. Three barbers, services of different lengths, pay in the shop. A web booking system from about $1,500 is plenty, linked from Instagram. If the shop is very small with simple services, a ready-made tool may be enough to start, and we'd tell you so.

A clinic with four doctors and two branches. Different schedules, one doctor in both branches, short patient notes, reminders. This sits closer to the bigger web system from about $3,000, because branches, schedules and patient data add work. If you also need medical records and billing, that's a clinic system rather than a booking system.

A fitness studio with group classes. A weekly timetable, class capacity, memberships of 10 or 20 classes, and a waiting list. Packages and capacity push this toward a mobile app from $2,000, since members book several times a week and benefit from notifications.

Rentals by the hour or day. Football pitches, equipment or chalets, with a deposit to stop fake bookings and a cancellation policy. The deposit alone means a payment gateway and refund handling. If the owners are many and you take a commission, it becomes a marketplace; see the cost to build an app like Airbnb.

We run real booking in production: Lawh Academy, a Quran and Arabic learning platform we built, has live student and tutor apps on both stores with session booking and tutor availability calendars.

How to start on a smaller budget

  • Start on the web before a mobile app.
  • Delay online payment and take payment on site, unless no-shows are a serious problem.
  • Start with one branch, then add the rest once the system is settled.
  • Pick one reminder channel and measure its effect on no-shows before adding another.

FAQ

How much does it cost to build a booking app?

With Q Studio, a web booking system with live availability and an admin dashboard starts from about $1,500 (about 3 weeks), a mobile booking app for iOS and Android from about $2,000 (about 2–6 weeks), and a full launch with roles, notifications and store publishing from about $4,000. Deposits, branches, classes and packages are what move the price up.

Can you add booking to my existing website?

In most cases, yes. We build the booking page and dashboard and connect them to your site with a link, a button or an embedded section. We look at your current site first to choose the simplest option.

Do deposits add a lot to the cost?

They add a payment gateway plus cancellation and refund handling, which is a medium amount of work. For businesses that suffer from fake bookings, such as pitches and chalets, a deposit often pays for itself quickly.

Do I pay you a monthly fee after launch?

No. You pay for the build in milestones, then pay hosting and messages directly to the providers in your name. A bug-fix window after launch is included; further work is agreed separately when you need it.

How do I get an exact price?

Send us your booking rules as they are: services and their lengths, staff and branches, deposits and your cancellation policy. Within 24 hours you get a written scope and a fixed price.
