The details that decide whether it works

  • Availability logic. A 60-minute service with a 15-minute cleanup, a staff member who only does certain services, a room that can hold one session at a time. Getting this right is the core of the system, and the part cheap builds get wrong.
  • Time zones. Essential for online tutoring and consulting, where the tutor is in Cairo and the student in London or Riyadh.
  • Concurrency. Two people trying to book the last slot at the same second must not both succeed.
  • No-shows. The most effective tools are deposits for high-value services, reminders 24 hours and 2 hours before, and an easy reschedule link so people move rather than vanish.
  • Payments. Card and wallet payments through a gateway suited to your country, with deposits and refunds handled properly. The merchant account is in your name.
  • Privacy. Clinics and therapists hold sensitive information. Keep medical notes out of reminders, limit who can see what, and follow your country's data protection law.

FAQ

Should I build a booking website or a mobile app first?

Usually a web booking system first. Customers can book from a link in Instagram, Google or WhatsApp without installing anything. Add an app when customers book often enough to keep it on their phone.

Can customers book through WhatsApp?

They can start there. The common approach is a WhatsApp message with a booking link, plus confirmations and reminders sent by WhatsApp or SMS. Fully automated booking inside WhatsApp is possible but adds cost and approval steps with WhatsApp's business platform.

Can the system take deposits to reduce no-shows?

Yes. You set which services need a deposit and how much, and the cancellation policy decides whether it's refunded. Deposits are one of the most effective ways to cut no-shows for high-value appointments.

Can I move my existing bookings and customers over?

Usually yes, if you can export them from your current tool or spreadsheet. We import customers and future bookings before launch so nothing is lost.

Does it work for online sessions?
