How Much Does a WhatsApp AI Chatbot Cost? The Three Bills and Real Examples

A WhatsApp AI chatbot has three costs: the builder, AI usage and Meta's message fees. Real examples at 300, 1,000 and 3,000 chats a month.

The short answer

A WhatsApp AI chatbot has three separate costs: the build and yearly running fee paid to whoever builds it, AI usage paid to the AI provider, and WhatsApp message fees paid to Meta. With Q Studio's packages, a small business handling about 300 chats a month pays around $710 in year one for an AI assistant, plus roughly $6–12 a month in AI usage; at 1,000 chats a month a hybrid sales agent comes to about $2,145 in year one plus $50–100 a month in AI usage. Meta's fees depend on your customers' countries and on how many messages your business sends, so check Meta's current rate card.

Ask three companies what a WhatsApp chatbot costs and you'll get three numbers that can't be compared: one quotes a monthly subscription, one a one-off build, one a price per message. The reason is that a WhatsApp AI chatbot has three different bills, paid to three different parties, and most quotes only show one of them.

This guide separates the three, explains what drives each one, and works through real examples at 300, 1,000 and 3,000 chats a month. For our part of the bill we use our own published package prices. For the AI and Meta parts we give planning ranges and tell you where to check the current rates.

The three cost layers

LayerWho you payWhat drives itHow it's charged

AI usageThe AI provider (with us, Google)Number of chats, chat length, knowledge sizePay-as-you-go from a prepaid balance

A website chatbot has only the first two. Meta's fees apply to WhatsApp only.

Layer 1: the build and yearly running fee

This is what you pay the people who build and maintain the bot: designing the flows, writing the knowledge base with you, connecting the WhatsApp Business Platform, hosting, monitoring and fixing things.

Our packages are priced per channel. The setup includes the build, launch, the first 12 months of running and a starter chat bundle valid for 12 months:

PackageSetup (includes year one)Chats includedYearly renewalExtra chats
Guide (button bot, no AI)$390Unlimited$190n/a
Reply (AI assistant)$5901,200$300$5 per 100
Sell (hybrid sales agent)$9901,500$400$11 per 100
Book (action agent)$1,5902,000$590$19 per 100
Grow (action agent with campaigns)$2,1903,000$870$33 per 100

A chat is one conversation up to a message limit: 15 messages on Reply, 20 on Sell, 25 on Book and 30 on Grow. What each package does is explained on our WhatsApp AI agent page.

When you compare quotes from other builders, check four things: whether the price includes the first year of hosting and support, how many chats are included, what happens when you run out, and who owns the WhatsApp account and the chat data.

Layer 2: AI usage

Every time the AI reads a question, searches your knowledge and writes an answer, the AI provider charges for the text processed. Three things drive the cost:

  • Chat length. A 4-message chat costs much less than a 25-message one.
  • Knowledge size. A bigger library means more text is sent with each answer.
  • What the agent does. Agents that look up orders or fill forms make more AI calls per chat.

These are our planning estimates per 100 chats, based on typical chat lengths for each package. They are not a price we charge; you pay Google directly, at Google's rates, from a prepaid Google AI balance on your own card:

PackageEstimated AI usage per 100 chats
Guide$0 (no AI)
Replyabout $2–4
Sellabout $5–10
Bookabout $8–17
Growabout $14–29

Short, simple chats sit at the low end; long sales conversations at the high end. AI prices have tended to fall over time, but they can change in either direction, which is one reason we don't bundle them into our price.

Layer 3: Meta's WhatsApp message fees

Meta charges WhatsApp Business Platform users per delivered message. Since July 2025, messages fall into four categories:

  • Marketing templates (offers, announcements, re-engagement): charged every time.
  • Utility templates (order updates, reminders, confirmations).
  • Authentication templates (one-time codes).
  • Service messages: ordinary replies inside the 24-hour window after a customer writes to you.

Until recently, service replies were free, and utility templates were free inside an open service window. Meta announced changes effective 1 October 2026: according to the details published by several official WhatsApp solution providers, service replies are now charged per message beyond a monthly free allowance for each business phone number (reported as 1,000 messages a month), at the same rate as utility messages in that market, and utility templates inside the window are charged too. Meta has kept a free window for conversations that start from Click-to-WhatsApp ads or a Facebook Page button, under conditions.

Rates differ by the country code of the customer's number, and lower utility and authentication rates unlock at higher monthly volumes. Because the rates change and vary by country, we don't quote them here. Check Meta's current WhatsApp Business Platform pricing page and rate card for the countries your customers are in, and treat any number in an older article as out of date.

A practical way to estimate: count the replies your agent sends a month, subtract the free allowance, multiply by your market's utility rate, then add the marketing templates you plan to send.

Worked examples: year one

These use our package prices for layer 1, the planning ranges above for layer 2, and an assumption of about 5 business replies per chat for layer 3. All figures are year one, in USD.

Q Studio, year one$710$2,145$8,050
AI usage (to Google)$72–144 a year (about $6–12 a month)$600–1,200 a year (about $50–100 a month)$2,880–6,120 a year (about $240–510 a month)
Service replies a month (to Meta)about 1,500, of which about 500 above the free allowanceabout 5,000, about 4,000 aboveabout 15,000, about 14,000 above

Multiply the replies above the allowance by your market's utility rate, then add any marketing templates. A store sending one offer a month to 2,000 customers adds 2,000 marketing messages at your market's marketing rate.

Year two replaces the setup fee with the yearly renewal ($300, $400 and $590 in these three examples) for hosting, monitoring, updates and support, plus chat packs for the volume you expect. Your written quote states exactly what the renewal covers.

Per chat, our part works out at roughly $0.18–0.22 in year one in these examples, before AI and Meta fees. Compare that with the staff time those chats take today, not with zero.

How to keep the cost down

  • Start with the right package, not the biggest. Upgrading later only costs the difference between the two setups.
  • Use buttons for the common paths. A tapped option is faster for the customer and uses little or no AI.
  • Keep the knowledge base tight. Clear, short sections give better answers and cost less per chat than a pile of PDFs.
  • Send templates with purpose. Marketing templates are charged every time; a reminder that prevents a no-show is worth it, a weekly blast to cold contacts usually isn't.
  • Use the alerts. You get a warning at 80% of your chats; at 100% the AI pauses and new messages go to your team inbox instead of building up a bill.

When you don't need an AI chatbot at all

  • Under a few dozen messages a week: the free WhatsApp Business app with quick replies and one attentive person is enough.
  • A few fixed questions: a button bot like Guide ($390, unlimited chats, no AI cost) does the job.
  • No written information yet: write your prices and policies first. A bot only knows what it's given.

FAQ

Is there a monthly subscription?

Not with us. You pay a setup that covers year one, then a yearly renewal, plus chat packs only if you need more. AI usage and Meta's fees are pay-as-you-go to those providers directly.

Why don't you include AI usage in your price?

Because it varies with your traffic and with the provider's prices. Including it would mean adding a safety margin you'd pay whether you used it or not. Paying Google directly from your own prepaid balance means you see every charge, and the account is yours.

Are replies to customers on WhatsApp still free?

Not always, since Meta's October 2026 changes. Replies within the 24-hour window are now reported as free up to a monthly allowance per business number and charged beyond it, with special free windows for chats that start from Click-to-WhatsApp ads. Check Meta's current pricing page for the exact rules in your market.

What happens if we run out of chats in the middle of a campaign?

You're alerted at 80%. At 100% the AI pauses and new messages go to your team inbox, so customers still reach a person. Adding a pack turns the AI back on.

Does a website chatbot cost the same?

Our setup prices are the same per channel, and adding a second channel gets 30% off its setup. A website chatbot has no Meta fees, so its running cost is lower.

How do I get an estimate for my business?

Tell us roughly how many messages you receive a month, what people ask, and whether you want bookings or orders handled in the chat. You can do that in a few clicks with the project planner.
